Not every HR team or team member has the same needs when it comes to using Localyze. That's why there are different roles and permission levels, designed to provide just the right amount of information and visibility of Talent information for each user while protecting its privacy where needed. When creating a new team member on Localyze, you can decide on their specific user role, which gives them different powers within Localyze.

HR Manager & Follower

For each case, you can determine who has access to the Talent profile and information.

<aside> 📌 Superadmins ****have access to all Talents of your company in Localyze. All other HR team members (Regular, Viewer) only have access to Talent information if they are assigned to the case as an HR manager or a Follower. For more details, read below.

HR Manager responsible

  1. Is the point of contact for the Localyze case manager.
  2. Is responsible for the case / Talent from your side and will be assigned tasks related to the case and is able to communicate with the case manager via the messages on the Talent profile.
  3. Will receive email notifications related to this Talent.
  4. Has viewing & editing rights to the Talent profile, e.g. to book additional services.
  5. Both Superadmins and Regular users can be assigned as the HR manager responsible. Viewer HR users cannot be assigned as HR Managers to a case, as they don’t have access to the relevant and necessary information on the Talent profile.

Followers

  1. Is interested in the progress of the case, but has no responsibility in driving its progress.
  2. Regular HR users ****that are assigned as Followers to a case can view and edit the Talent profile. They have access to messages, updates, and tasks.
  3. Viewer HR users that are assigned as Followers to a case can only view the Talent on the talent page but have no access to the Talent profile. They can only see the following information per Talent:
  4. Superadmins don’t need to be added as Followers to a case. By nature, they have visibility (and editing rights) to all your Talent on Localyze.
  5. Followers don’t receive notifications about the cases they are following. To stay on top of things, they can log into Localyze and check out the progress there.
  6. How to add / remove Followers: You can either add Followers to a case during the case creation flow or after the creation on the talent profile page. Go to the Person responsible tab to add or remove Followers.

☝️You can only assign an HR user of your team as HR Manager responsible OR Follower, not both at the same time.

📝 Best practices

  1. Recruiters are now able to follow their hired Talent without you disclosing too much information about other Talent: create them as Viewers, and add them as Followers to the Talent.
    1. If your Talent acquisition team is responsible for the relocation process, make sure they are created as Regular HR users and assigned as HR managers to their talent so they have full access to the Talent information.
  2. Recruiters can now have restricted access to pre-checks and the knowledge page. Create them as Viewers and don’t assign them as Followers to any Talent. They will not see Talent data but can submit pre-checks and learn more about waiting times on the knowledge page.
  3. To protect your Talent’s privacy, we recommend restricting the number of Superadmin users to a minimum. For very small teams, it may be helpful to have more than one Superadmin to ensure smooth handling of Localyze cases in times of absence.
  4. If a responsible HR manager is out of the office, Followers can take over when they are Regular HR users. Remember to add a team member as a Follower when creating the case.
